TradeComms ("TradeComms", "we", "our" or "us") respects your privacy and is committed to protecting the personal information we collect and handle.
This Privacy Policy explains how TradeComms collects, uses, stores and discloses personal information through its website, platform, AI call-handling service and related services.
1. Information We Collect

Payment card information may be collected and processed directly by a third-party payment provider.
2. How We Collect Information
- when a business creates or administers a TradeComms account;
- when an account owner enters or updates business information;
- when an authorised user uses the platform;
- when a caller contacts a business through the TradeComms service;
- when a user contacts TradeComms for support;
- through telephony, transcription, artificial intelligence, hosting, authentication and notification providers;
- through cookies, platform logs and similar operational technologies.
3. How We Use Information
- provide AI-assisted call answering and missed-call handling;
- respond to callers using business instructions supplied by the customer;
- capture and organise customer enquiries;
- create transcripts, call summaries and lead records;
- notify business owners and authorised users;
- operate and maintain the TradeComms platform;
- personalise the service for participating businesses;
- administer accounts, plans, usage and subscriptions;
- process payments and maintain transaction records;
- provide customer and technical support;
- monitor security, reliability and system performance;
- investigate misuse, fraud or unauthorised access;
- improve the service using aggregated or de-identified information;
- comply with legal obligations;
- enforce the Terms of Service.
TradeComms does not sell personal information.
4. AI Call Handling, Transcription and Recording
TradeComms uses artificial intelligence and automated systems to answer calls, conduct conversations, transcribe call content, generate summaries and extract lead information.
Depending on the customer's configuration, a call may be answered by an AI receptionist, transcribed, summarised, analysed to create a lead record, or recorded.
A business using TradeComms is responsible for configuring and using the service in accordance with applicable privacy, surveillance, telecommunications and call-recording laws.
TradeComms currently lets businesses configure the receptionist greeting and related call-handling instructions, but businesses remain responsible for deciding whether their wording, notices and settings are appropriate for their circumstances and jurisdiction.
Where recording is disabled, TradeComms must not tell callers that the call is being recorded.
5. Service Providers
TradeComms may use third-party providers for telecommunications and call routing, speech recognition and transcription, artificial intelligence processing, cloud hosting and databases, authentication, payment processing, email and SMS delivery, monitoring and analytics, and customer support.
These providers may process information as required to supply services to TradeComms.
TradeComms does not identify individual providers in this public policy unless it deliberately chooses to do so.
6. Overseas Processing and Disclosure
Some TradeComms service providers may store or process information outside Australia.
Where applicable, TradeComms takes reasonable steps to select reputable providers and assess appropriate privacy and security protections.
Information processed overseas may also be subject to the laws of the country in which it is processed.
7. Data Security
TradeComms takes reasonable technical and organisational measures to protect personal information from misuse, interference, loss, unauthorised access, alteration and disclosure.

No electronic system is completely secure. TradeComms cannot guarantee absolute security.
8. Data Retention
TradeComms may retain account, business, call, transcript, recording, summary, lead, subscription and support information for as long as reasonably necessary to provide the service, maintain business and financial records, support customers, resolve disputes, prevent fraud or misuse, and meet legal, accounting or regulatory requirements.
Information may be deleted earlier where the account owner deletes it, the account owner requests deletion, an applicable retention setting requires deletion, or TradeComms determines that it is no longer required.
Short-lived request records may be retained briefly for rate limiting and troubleshooting before being deleted automatically.
Information may remain temporarily in restricted backups or system logs after deletion from the active platform.
9. Account Closure and Data Deletion
An account owner may request or initiate closure of a TradeComms account through the Business settings page or by contacting TradeComms.
Account closure may result in loss of platform access, termination of AI call handling, and deletion of associated account information from TradeComms systems.
Some information may be retained where reasonably required for legal or financial recordkeeping, payment disputes, fraud prevention, system security, enforcement of contractual rights, or temporary backup retention.
10. Cookies and Similar Technologies
TradeComms may use cookies, local storage and similar technologies to authenticate users, maintain sessions, remember settings, protect the platform, operate website and platform functionality, diagnose errors, and measure service performance and usage.
The current codebase uses essential authentication and session technologies. No non-essential analytics or advertising tools were identified in the app code reviewed for this policy.
11. Access, Correction and Deletion Requests
Individuals may request access to, correction of, or deletion of personal information where legally permitted.
TradeComms may need to verify the identity and authority of the person making the request.
Requests can be made using the contact details published on the TradeComms website.
Where TradeComms processes caller information on behalf of a business customer, TradeComms may refer the request to that business or work with the business to respond.
12. Privacy Complaints
A person may contact TradeComms with a complaint about how their personal information has been handled.
TradeComms will assess and respond to privacy complaints within a reasonable period.
Use the contact form on the TradeComms website for privacy questions, complaints, access requests, correction requests or deletion requests.
13. Business Customer Responsibilities
- providing accurate business information and call-handling instructions;
- ensuring they have an appropriate basis for collecting and processing caller information;
- providing required notices to callers;
- configuring recording and disclosure settings appropriately;
- controlling access to their account;
- protecting account credentials;
- responding to requests from their callers and customers where required;
- complying with applicable privacy, surveillance and telecommunications laws.
14. Data Breaches
TradeComms will investigate suspected data breaches and take reasonable steps to contain and respond to them.
Where an incident is an eligible data breach under applicable Australian law, TradeComms will notify affected individuals and the Office of the Australian Information Commissioner as required.
15. Children's Information
TradeComms accounts are intended for businesses and adults who are authorised to operate those accounts.
TradeComms does not knowingly create accounts for children.
A caller may provide information relating to a child during a legitimate business enquiry. That information will be handled in accordance with this Privacy Policy.
16. Changes to This Privacy Policy
TradeComms may update this Privacy Policy from time to time.
The current version will be published on the TradeComms website and will apply from the Last updated date shown on the page.
Where reasonably practicable, TradeComms will notify account holders of material changes.
